This Privacy Policy explains how Artemis Insights LLC ("Artemis Insights," "we," "us") collects, uses, and protects information through myartemisinsights.com (the "Site") and the Artemis Insights software product (the "Service"). It's split into two parts, because they cover genuinely different things: Part 1 is about you if you're visiting this website; Part 2 is about how the Service itself handles data once a company is actually using it.
If you submit the "Get started" form, we collect your name, email address, company name, and whatever you write in the message field, plus your phone number if you choose to provide it. We don't use tracking cookies or analytics scripts on this site, and we don't collect anything from you just by visiting.
Solely to respond to your inquiry - it's emailed directly to our team. We don't sell it, rent it, or use it for advertising, and we don't share it with anyone except the email delivery provider (Resend) used to send that notification.
If your company uses the Service, there are two different relationships worth being precise about. For your own account information (your login email, your name, your security settings), we are the data controller - we decide how that's used, per this policy. For the business data your company uploads or connects (payroll records, HR records, financial data, shipment data, employee information, and so on), we are a data processor acting on your company's instructions - your company controls that data, decides what's collected, and is responsible for having a lawful basis to collect and process it about its own employees and operations. We process it only to provide the Service.
Certain features - generated insights, the in-app assistant, receipt scanning, and daily report summaries - send relevant data to Anthropic's Claude API to generate their output. This happens only when those features are actively used, and only the data necessary for that specific request is sent. We don't use your company's data to train any AI model.
Your company's admin controls this directly, per record type, under the Database tab's retention policy settings. By default, nothing is automatically deleted or archived - an admin has to explicitly turn on a retention window for a given record type. When they do, records past that window are moved out of active use into an archive rather than deleted outright, and can still be exported or permanently deleted from there at any time.
Sensitive credentials and connected-integration tokens are encrypted at rest. Traffic to and from the Service is encrypted in transit. Optional two-factor authentication is available for every account, and every authenticated action is recorded in an audit log visible to your company's admins.
Admins can export their company's full data history, or any single quarter of it, at any time from the Database tab. Individual archived records can be permanently deleted on request. If your company needs to exercise data subject rights on behalf of its own employees (access, correction, deletion), your company's admin can do this directly within the Service, or contact us at babeilharz@gmail.com for help.

If we make a material change to this policy, we'll update the effective date above and, for significant changes, notify account admins directly.
